that sucks, I really hate when people that are in charge of important work stuff, just don't put it in an intuitive easy to find, workable file structure or a program that is enduring and will be around in a few years time. That's the problem i suppose with soft copy stuff, people just don't think about the future, whereas paper copies of stuff used to last for decades and not necessarily get lost, someone always knew where it was. These days if the people leave a job, nobody knows that the stuff ever existed, if the software filing system isn't easy to surf around, and intuitive .

One company I worked for had some really good graphics done up for their business logo, and they had it formatted in every conceivable format, so we could use it on everything, and it was in the highest level of the file structure for the company so it couldn't get lost over time, it was bloody expensive to get done in the first place.
